Privacy Policy

Progenix ("Progenix", "we", "us") provides a private, invite-only recruitment and placement consultancy platform used by our staff and the candidates we represent. This policy explains what information we collect, how we use and protect it, who it is shared with, and the choices you have. It covers our treatment of Google user data (Gmail) in detail, because that feature uses a Google-restricted permission.

Who this applies to

Progenix is not a consumer product and is not open for public sign-up. Accounts are created and managed by the Progenix administration team for authorized candidates and staff. The platform is intended for adults (18+) participating in our recruitment and placement services.

Information we collect

We collect only what we need to provide recruitment and placement services:

  • Account & profile data — name, email, phone, location, technology/role, and similar details provided by you or entered by our administrators.
  • Career data — resumes, job descriptions, applications, interview and offer records, and documents you or your coordinator upload.
  • Usage & security data — sign-in activity, device/browser information, and audit logs used to secure accounts.
  • Google Gmail data — only if you explicitly connect your mailbox (see the next section).

Google user data (Gmail integration)

Connecting Gmail is optional and happens only after you grant consent through Google's standard sign-in screen. You can decline, and you can revoke access at any time.

Permission we request: read-only access to your Gmail messages (gmail.readonly). We never send, reply to, modify, label, move, or delete your email.

How we use it: we scan incoming mail to identify recruitment-related messages — interview invitations, screening calls, assessments, scheduling requests, offers, and rejections — and extract the key details (company, role, date/time, meeting link) so they appear on your interview calendar and your assigned coordinator can support you.

What we store: for messages identified as recruitment-related, we store the subject, sender, received date, a short content excerpt, and the extracted event details. For all other messages, we store only a message identifier and the received date — never the subject or body. If a message is later determined not to be relevant, its stored content is removed.

AI processing: the content of recruitment-related messages is sent to our AI providers (OpenAI, Google, and Anthropic) solely to classify the message and extract the event details described above, for your own use within Progenix. This data is not used by those providers to train or improve generalized AI/ML models.

Who can see it: your recruitment email data within Progenix is accessible only to you, your assigned recruitment coordinator and manager, and Progenix administrators, solely to provide and support your placement services.

Progenix's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not transfer it except as needed to provide this feature, for security, or to comply with law.

Revoking access & deleting Gmail data: you can disconnect your mailbox from your Progenix portal at any time, which revokes our access and stops syncing. You may also remove Progenix at myaccount.google.com/permissions. To have stored email data deleted, ask your administrator to remove the connection, or email adminaccount@progenix-us.com.

How we use information

  • Create and tailor resumes and track job applications and placements.
  • Schedule and track interviews, screenings, assessments, and offers.
  • Provide interview preparation, support, and communication.
  • Operate, secure, and improve the platform (including audit logging and abuse prevention).

How we share information

We do not sell your personal information. We share it only with:

  • Service providers that run the platform — our database and file storage provider (Supabase) and the AI providers named above — who process data on our instructions to deliver the service.
  • Authorized Progenix staff involved in your placement (your coordinator, their manager, and administrators).
  • Legal and safety recipients, where required by law or to protect rights, safety, and security.

Data retention

We keep information for as long as your account is active and as needed to provide the service and meet legal, accounting, or reporting obligations. When you disconnect Gmail or an administrator removes the connection, the associated stored email records are deleted. You can request deletion of your data by contacting us.

Security

Access credentials such as Google refresh tokens are encrypted at rest (AES-256-GCM), data is transmitted over TLS, and access to records is restricted by role. No system is perfectly secure, but we work to protect your information with appropriate technical and organizational measures.

Your choices & rights

You can request access to, correction of, or deletion of your personal data, and you can disconnect any connected Google account at any time. Depending on where you live, you may have additional rights under applicable law. To exercise any of these, contact us at adminaccount@progenix-us.com.

Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above and, where appropriate, through in-app notice.
